Sharing Calendars with Family and Team Members
PrimeCal's calendar sharing lets you give other people access to specific calendars — not your whole account, just the calendars you choose. You control exactly who can see what, and what they're allowed to do.
How Sharing Works
Sharing in PrimeCal is calendar-by-calendar. This means:
- Each calendar you own can be shared independently
- Different people can have different permission levels on the same calendar
- Sharing one calendar doesn't give anyone access to your other calendars
- Recipients need their own PrimeCal account to access a shared calendar
This gives you fine-grained control. Your "Work" calendar stays private while your "Family" calendar is shared with everyone at home.
Permission Levels
When you share a calendar, you choose what the recipient can do:

Read is great for people who just need to know what's on the calendar — they can see everything but can't accidentally change it.
Write is for people who actively participate in the calendar. They can add their own events and edit existing ones.
Admin is for co-owners — people you trust to also manage who has access. An admin can share the calendar with additional people.
Even if you give someone Admin permission, they cannot delete the calendar or change its owner. Only you (the calendar owner) can do that.
How to Share a Calendar
- Find the calendar in your left sidebar.
- Hover over the calendar name — a three-dot menu icon (⋯) appears to the right.
- Click the three-dot menu and select Share (or Manage sharing).
- In the sharing dialog, type the username of the person you want to share with. You can also search by their display name.
- Select the permission level: Read, Write, or Admin.
- Click Share (or Add) to confirm.
The calendar immediately appears in that person's sidebar. They don't need to accept an invitation — it just shows up.
You can share the same calendar with as many people as you want. Repeat the steps above for each person, choosing the appropriate permission level for each one.
Removing Access
To remove someone's access to a calendar:
- Open the calendar's sharing settings (three-dot menu → Share).
- Find the person in the list of current shares.
- Click the Remove button (or the X next to their name) to revoke their access.
The calendar disappears from their sidebar immediately.
Changing Someone's Permission Level
In the sharing settings dialog, you can change an existing share's permission level without removing and re-adding them. Click the current permission label next to their name and select a different level from the dropdown.
A Real-World Example: The Late Family
Here's how May Blate set up the "Late Family" shared calendar for her household.
May created the "Late Family" calendar herself, so she's the owner with full control. Then she shared it:
- Will Blate (husband) — given Write permission. Will often adds events like "Dentist appointment" or "School pickup" that affect the whole family, so he needs to be able to create and edit events.
- Sue Blate (daughter, 10) — given Read permission. Sue can see the family schedule on her own PrimeCal account, but May doesn't want her accidentally moving or deleting events.
- Noah Time (son, 16) — also given Read permission. Same reasoning as Sue — he can check what's happening this weekend without changing anything.
The result: everyone in the household sees the same "Late Family" calendar in their PrimeCal, but only May and Will can actually modify it.
What the Recipient Sees
When you share a calendar with someone, it automatically appears in their PrimeCal sidebar under their calendar list. The calendar shows up with the color you (the owner) set for it. Recipients can:
- Show or hide the calendar by checking/unchecking its box in the sidebar
- View all events on the calendar (if they have at least Read access)
- Click events to see their details
Recipients cannot:
- Change the calendar's name, color, or settings
- See who else the calendar is shared with (unless they have Admin access)
- Delete the calendar
What if They Don't Have a PrimeCal Account?
You can only share with people who already have a PrimeCal account. There's no "invite by email" flow that creates an account for them.
If the person you want to share with doesn't have an account yet, point them to app.primecal.eu to sign up — it's free. Once they have an account, come back and share the calendar with their username.
If you're on the Family or Enterprise plan, seat management lets you add team members to your subscription so they all have access to the right plan features. Sharing calendars is a separate step from seat management — even after adding someone to your plan, you still share specific calendars with them individually.
