Managing External Attendees

Not everyone you invite will have a PrimeCal account. External attendees are people you invite by email address — they receive a standard meeting invitation they can respond to from any email client.

How To Invite External Attendees

  1. Open the event creation modal or edit an existing event.
  2. In the Attendees field, type an email address (instead of a PrimeCal username).
  3. PrimeCal recognizes it's an email (not a username) and adds the person as an external attendee.
  4. Save the event — the invitation email is sent automatically.

What External Attendees Receive

External attendees get an email containing:

  • Event title, date, time, and location
  • Organizer's name
  • Accept, Decline, and Maybe buttons
  • A description/notes if you included them

They click a button to respond — no PrimeCal account required.

Seeing Their Responses

External attendees' responses appear in the same attendee list as PrimeCal users:

  • ✅ Accepted, ❌ Declined, ❓ Maybe, or ⏳ Pending

Limitations For External Attendees

External attendees (non-PrimeCal users):

  • Cannot see the shared calendar
  • Do not get the event added automatically to a PrimeCal calendar
  • Can only respond via the email link
  • Do not receive push notifications — only email
tip

If an external attendee frequently joins your events, consider suggesting they create a free PrimeCal account. They'll get a much better experience with the full calendar view and push notifications.

Removing External Attendees

Same process as removing any attendee:

  1. Edit the event.
  2. Click × next to their email.
  3. Save — they receive a cancellation notification.

Example

May organizes a "Parent-Teacher Conference Prep" meeting and wants to include the school administrator (who doesn't use PrimeCal). She enters the administrator's email address as an attendee. The administrator receives a standard email invitation, clicks Accept, and May sees the response in the attendee list.
