Viewing Attendee Status

As the organizer of an event, you can see how each invitee has responded at any time.

How To View Attendee Responses

  1. Click the event on your calendar.
  2. The event detail panel shows the Attendees section.
  3. Each attendee is listed with their current status:
StatusWhat it means
AcceptedThey confirmed attendance
DeclinedThey won't attend
MaybeTentative — they're not sure yet
PendingAwaiting their response

Attendee Count

The event detail shows a summary count:

  • "3 accepted, 1 declined, 2 pending"

This is especially useful when planning events with many attendees.

Editing When Not Everyone Has Responded

If you need to update the event time while some people are still pending:

  1. Edit the event.
  2. Update the time or date.
  3. Save — all attendees (including those who already accepted) are notified of the change and may need to re-confirm.

Reminding Attendees

Currently, PrimeCal doesn't send automatic reminder nudges to pending attendees. To follow up, you can message them directly or use PrimeCal's automation system to send a webhook-triggered notification via Slack or Teams.

Example

Will organizes "Q3 Planning Session" and invites five team members. Two hours after sending, he checks the event and sees:

  • 3 accepted ✅
  • 1 declined ❌
  • 1 pending ⏳

He knows to follow up with the pending person before the meeting.
