Resource Availability

PrimeCal now supports resource-specific opening-hours overrides on top of the existing service or organisation schedule.

This is useful when two resources belong to the same service type but are not available for the same working hours.

How Availability Is Calculated​

PrimeCal applies availability in layers:

  1. organisation or service defaults define the baseline schedule
  2. a resource can override that baseline with its own weekly hours
  3. the booking page only shows slots that survive both checks

In practice, this means a room or staff member can be more restrictive than the service default without forcing you to duplicate the whole service configuration.

Configure Resource-Specific Opening Hours​

1. Open Reservations​

From the internal workspace:

  1. open Reservations
  2. switch to the Resources tab
  3. add a new resource or edit an existing one

2. Use the Resource Opening Hours Panel​

Inside the resource form you can now:

  • enable only the weekdays that should override the default schedule
  • set a start time and end time for each active day
  • leave inactive days unchecked so they keep the wider service-level behavior

PrimeCal validates every active row and blocks invalid ranges such as:

  • end time earlier than start time
  • start time equal to end time

3. Save And Re-test The Public Booking Page​

After saving the resource:

  • open the public booking link
  • select the service and the resource
  • confirm that unavailable times outside the override window no longer appear

If the page allows Any available resource, PrimeCal will only choose from resources that match the requested time and quantity.

Example​

You have one Consultation Room service with two rooms:

  • Room A can be booked Monday to Friday from 09:00 to 17:00
  • Room B is only staffed Tuesday to Thursday from 12:00 to 18:00

Instead of cloning the service, keep one service type and add resource-specific overrides to Room B.

Best Practices​

  • Use organisation or service defaults for the broad schedule that most resources share.
  • Use resource overrides only where the resource is genuinely more restrictive or follows a different day pattern.
  • Keep overrides simple. One clean block per day is easier to maintain than trying to encode exceptions into every resource.
  • Re-test timezone-sensitive bookings if your team accepts reservations across regions.

Troubleshooting​

A resource still shows times outside its intended window​

Check whether:

  • the override day is enabled
  • the start and end times were saved correctly
  • the booking page is selecting Any available resource instead of the specific resource you expected

A resource disappears completely on the booking page​

This usually means the override is too restrictive for the selected date, quantity, or resource capacity.
