Managing Your Subscription

Everything on this page happens at Profile menu → Subscription (app.primecal.eu/app/subscription). You do not need an administrator to change your own plan — it is fully self-serve.

Seeing what you are on

The Subscription page shows your current plan, billing period, renewal date, and how many seats you are using out of the seats your plan includes.

Upgrading

  1. Open Profile menu → Subscription.
  2. Pick the plan you want from the plan list.
  3. Choose monthly or yearly.
  4. Enter a coupon code if you have one — the page validates it before you pay.
  5. Continue to checkout.

Checkout is handled by Paddle. You enter your payment details on Paddle's secure checkout, not in PrimeCal — card details never reach PrimeCal's servers.

When payment completes you are returned to the Subscription page and the new plan applies. If the new features do not appear immediately, reload the page; entitlements are cached briefly.

Managing billing and cancelling

On a plan you pay for yourself, Manage Billing opens your payment provider's secure page - Paddle or Stripe, whichever your subscription was started with - where you update your card and see your invoices. Cancelling also takes you to that page ("You'll be redirected to the billing portal to complete your cancellation") and takes effect at the end of the billing period.

A plan an administrator assigned to you has no billing account behind it, so there is nothing to manage and the two buttons are not shown. If a page cannot be opened you are told so in a message ("Couldn't open the billing portal. Please try again in a moment.") instead of a blank error: try again, and contact support if it keeps happening.

Changing billing period

Switching between monthly and yearly is a plan change: choose the same plan with the other billing period and confirm. Paddle prorates the change.

Downgrading

Select the lower plan and confirm. Before you do, check the limits on Plans and Pricing — if you are over the lower plan's limits (for example more calendars or screens than it allows), existing items are not deleted, but you will not be able to create new ones until you are back under the cap.

Seats — sharing your plan with others

Seats are available on plans that include more than one seat (Family and Store). If your plan includes seat management, a Seat Management panel appears on the Subscription page.

As the subscription owner you can:

  • Invite someone by email address. They receive an email with Accept and Decline buttons, and - if they already have an account - are asked the next time they open PrimeCal. They need no paid plan to accept.
  • Resend a pending invitation: it gets a fresh link and expiry and is emailed again.
  • Revoke a seat, which removes that person's access to your plan's features at once.

You can also give someone a seat while inviting them to a people group - tick Also add them to my account on the group's Invites tab. The seat then goes with that invitation: accepting joins the group and your plan together, declining releases the seat. A seat held that way is resent and withdrawn from the group's Invites tab, not from here.

A seat is in one of these states: Pending (offered, not yet answered), Active (accepted), Declined (the person said no - the seat is free again), Expired, or Revoked. Pending and active seats count against your plan's seats.

An invited person keeps their own separate PrimeCal account, their own calendars and their own data. What the seat gives them is your plan's feature level — it does not merge accounts or share your calendars. Sharing calendars is a separate thing; see People Groups and Sharing.

Invitations expire if unused. If someone's invite has lapsed, use Resend rather than creating a second one. The person you invite must answer with the account that has the email address you invited - a forwarded email cannot hand the seat to someone else. How they answer is described in Answering an Invitation.

What a seat does to the invited person's own plan

What happens depends on which plan is worth more. PrimeCal compares the two plans.

  • They are on the free plan. The seat simply gives them your plan's features. There is nothing to cancel and nothing to decide.
  • They are on a paid plan that yours outranks — for example you invite someone on User to your Family plan. Accepting the seat schedules their own plan to end at the end of the period they have already paid for — they keep what they paid for, and there is no refund to chase. If they decline, nothing changes for them.
  • They are on a plan equal to or better than yours — for example someone on Store invited to a Family plan. Their own plan is never cancelled, and they are not downgraded. Joining is useful for the shared calendars and the group even though the seat adds no features for them.

While they hold a seat that provides their plan, the Subscription page shows the plan name together with who is providing it, and the billing buttons are hidden — the subscription belongs to whoever is paying for it, so only that person can manage or cancel it.

If a seat is ever revoked, or the providing subscription lapses, the person falls back to their own plan.

note

Letting a seat replace someone's own paid plan is something an administrator switches on for the whole installation. Until it is switched on, accepting a seat only adds the seat's features and no plan is ever cancelled.

If your billing buttons do not work

Manage billing and Cancel open the portal of whichever provider actually bills you - which PrimeCal reads from your own billing records, not from the current setting. That is deliberate: moving the shop to a new provider must not strand a subscription opened on the old one, so an existing subscription keeps using the provider it was created with, and Paddle takes precedence wherever both are present.

The buttons can fail if your records still point at a provider that no longer has your subscription - for example a cancelled or test subscription left over from an earlier setup. If that happens, ask a system administrator: they can see which provider your records name, whether that provider still has a live subscription for you, and move your account across. The move only changes who bills you; your plan and your data are untouched, and it refuses outright while the old provider still has a live subscription, so nothing can end up billed twice.

Add-ons

Where add-ons are offered for your account, they appear on the Subscription page and are bought the same way as a plan. An add-on stacks on top of your plan — it raises a limit or unlocks a capability without moving you to a different tier. Add-ons are billed through Paddle alongside your plan.

Cancelling a single add-on takes effect at the end of the current billing period, the same as cancelling a plan.

When a feature is missing

If a feature you expect is not visible, check in this order:

  1. Your plan — compare against Plans and Pricing.
  2. A limit — you may be at the cap rather than lacking the feature. PrimeCal names the limit when you hit it.
  3. Your subscription state — if a payment failed, paid features are withdrawn. See Payments and Invoices.
  4. A seat — if you are on someone else's plan via a seat and they revoked it, you fall back to your own plan.
