Shared Calendars With People Groups

People groups help you share calendars with the same set of people again and again. They are useful for stable circles such as a family, household, school team, project team, DnD group, or club.

Calendar Groups vs People Groups

PrimeCal has two different kinds of groups:

If you only want a cleaner sidebar, use Calendar Groups. If you want other people to see calendars, use people groups.

Create A People Group

  1. Open the calendar workspace.
  2. Open Groups or People groups from the sidebar or calendar sharing menu.
  3. Choose New group.
  4. Give the group a clear name, such as Family Planning, DnD Saturdays, or Project Launch.
  5. Add an optional description so future members understand the group.
  6. Save the group.

Use names that describe the collaboration, not the internal calendar structure. Family Planning is usually clearer than Shared Calendar Group 1.

Invite Members

People-group invitations use email addresses. You can add a short message, for example:

I’m sharing the family planning calendars here so we can keep school and home appointments in one place.

After you send the invite, PrimeCal shows the same success message no matter whether that email already belongs to a PrimeCal account. This protects privacy and avoids revealing whether a person is registered.

If the invited person already has a PrimeCal account, they receive an in-app notification. If the email is not registered yet, PrimeCal records the invite for future email and sign-up support.

Accept An Invite

When someone invites you to a people group, the notification center shows a group invite notification.

  1. Open the notification center.
  2. Select the group invite.
  3. Review the group name, inviter, and optional message.
  4. Choose Accept to join or Decline if you do not want access.

After accepting, refresh or reopen the calendar workspace if the new calendars do not appear immediately. Group-shared calendars use the same color, icon, visibility toggle, and calendar behavior as other calendars.

Attach Calendars To A People Group

Owners and admins can attach calendars to a people group.

  1. Open the people group details.
  2. Choose Add calendar or open a calendar's Share action and choose Share via group.
  3. Pick one or more calendars.
  4. Choose the permission:
    • Read: members can view the calendar.
    • Write: members can create or edit events where allowed.
    • Admin: members can manage sharing-level access.
  5. Save the change.

The calendar is not copied. It stays the same calendar, with the same color and icon, but group members gain access through the people group.

Best Practices

  • Use people groups for stable collaborations. If the same people need access to several calendars, a group is easier to maintain than separate shares.
  • Keep visibility clear. Share only the calendars that belong in the group and use meaningful calendar names and colors.
  • Prefer read for broad groups and reserve write or admin for people who should actively manage the calendar.
  • Check notification settings if invites are easy to miss. Group invites arrive through the notification center for existing PrimeCal users.
  • Remove calendars from a group when the collaboration changes. Detaching a calendar from a people group does not delete the calendar.
